Managing Time and Resources for a Successful Patient Move

Construction approaches completion. Opening day scheduled. But how will you pull off a major facility move-in, what will it cost & when should you start? This is a story about the planning, process & resources needed to move into a new Children's Critical Care Pavilion. The dust has settled. Everyone is in. What are the lessons?

This facility expansion at UNM replaces 170 beds including all pediatrics, infants, & women's services plus all adult ICUs while also replacing the hospital's emergency center with new state of the art facilities to support the state's only level 1 trauma center. Planning major facility move-in takes efforts of multiple parties including owners, users, designers, builders, supplies and specialty consultants. Tying this together is the "Move Team". Starting 16 months before construction completion, this group charted steps required, managed multiple schedules to ensure a smooth transition. With regular facilitated meetings, task lists, homework & an experienced team toward the path forward, the details were uncovered & solved to lead the way to a successful relocation of this trauma centers most critical patients. With a ticking clock for demolition of the old building, the sequence was carefully mapped to fully fit-out the new facility with new equipment & furnishings & vacate the old premises and relocate the patients, staff, supplies & equipment over a four day period. The stop watches & two-way radios set the sequence of moving patients tracking from and to bed locations. As one unit completed, the dietary team arrived with the meals for the patients in their new unit. With precision the Move Team made sure that at the end of the move-in, that everyone of over two hundred patients and their families could sleep safely and comfortably the first night while also maintaining the hospitals in-bound trauma services.

Members of the "Move Team" will describe plans, schedule, costs and results. Special tools were utilized to track budgets, move routes, move schedules, equipment deliveries, installation and commissioning services, storage requirements and final check-out. Move Team staffers plotted a ballet of installations, relocations and certifications as the physical move takes place. Finally, the Move Team planned, coordinated and led the move of patients, family and critical staff as this children's hospital left it's former home and commenced operations in their new building.

Key lessons learned are: 1.Outline importance of an education plan for all staff members and what top 5 interventions would include. 2. Identify plan for addressing visitor and family needs during a move plan. 3. Discuss the critical importance of creating an accurate equipment name and to which unit it is to be delivered. 4. Identify a teaching plan for the utilization and education for staff learning about new equipment. 5. Assemble a veteran team and assign and track responsibilities.

The hospital's resources move experience will help them chart future expansions and renovation projects. The success of this move will serve as a great reference of how a well planned move can happen in a very short timeframe when the people involved bring can-do spirits and a desire to occupy the new facilities bringing quality of care to a higher level.
