Description
Florida Tech has taken the Graduate Student Assistantship Award Process from a paper "Blue Form" which could take weeks to go through the approval process to an electronic, almost paperless, workflow which frequently takes days or less. The process begins with a custom Banner Self-Service form where the originators enter a student ID and view Banner data on the student and enter minimal additional information such as stipend amount and funding source. Once the form is completed in Self-Service, Evisions generates a PDF of the document and it is indexed into Banner Document Management. A Workflow kicks off and routes the document through a dynamic approval queue. This approval queue is based on Roles as well as directed to specific users depending on the approval level. Once approved, Workflow directs Evisions to email the student a PDF of their contract. The signed contract is then scanned into Document Management, marked complete in Workflow, and emails are sent out letting the department know the contract is complete.
